# DoneOnce

Some service businesses are a stream of one-off jobs. Others are a week that comes back: the same forty, eighty or two hundred clients, visited every week, every two weeks or every month, in roughly the same order. # One app your crew can run in Spanish and your office in English

In a lot of U.S. service businesses the crew speaks Spanish, the office speaks English, and the customers speak either. DoneOnce is built for that: each person picks English or Spanish in their own profile, and everything they see follows, on the phone and on the desktop. # Your AI assistant in DoneOnce

DoneOnce has an **MCP server** — the standard way an AI assistant (Claude, ChatGPT and others) plugs
into an app. Once connected, you can ask your assistant things like *"add the Garcias at 12 Oak St,
biweekly on Tuesdays"*, *"who is behind on payments?"* or *"send Ana the estimate for the pool
cleaning"*, and it does the work **inside your DoneOnce, as you**.

It can do exactly what you can do in the app, and nothing more: a tech's assistant sees the day and
the book, the office's sees the money. Anything that sends money or messages is described to you
first and done only after your yes.

## Connect Claude (claude.ai or the desktop app)

1. In Claude, open **Customize → Connectors**, press **+** and choose **Add custom connector**.
2. Name it **DoneOnce** and paste this URL: `https://mcp.doneonce.app/mcp`
3. Press **Add**, then **Connect**. A DoneOnce window opens: sign in with your DoneOnce email and
   password and press **Approve**.

That is all — no token to copy. Claude's Free plan allows one custom connector; paid plans more.

## Connect Claude Code

## Other assistants

Any assistant that supports remote MCP connectors with sign-in (OAuth) works with the same URL. A
program that can only send a fixed header can use a token instead: in DoneOnce, **Settings →
Agents → How to connect → With a token**, mint one, and send it as `Authorization: Bearer <token>`.

## Staying in control

- Every connection lasts **90 days**; then your assistant asks you to approve again.
- **Settings → Agents** lists every connection with when it was last used. **Revoke** ends one at
  once. Reconnecting the same assistant replaces its previous connection.
- If your role changes, your assistant's access changes with it on the very next request.

## For the assistant reading this

- You act as the person who connected you, with their permissions; the server re-checks them on
  every call. A refusal is the server's own sentence — relay it, do not guess around it.
- Money is **integer cents**. A tool marked *get a yes first* changes money or sends something to a
  customer: say what you are about to do and wait for the person's yes.
- Setting up a new business, in this order: the business profile → **zones** (the ZIPs it serves
  and which weekday each one runs) → **categories and the price list** → **clients**, each with an
  **address** → their **recurring services** → the **team**. Use `find_client` before adding a
  client, so nobody is entered twice.
- A whole spreadsheet of clients goes in through the import below, never one `add_client` at a
  time. A team or a price list of several lines does go in one at a time (`add_crew_member`,
  `add_price_list_item`): show the person the whole list and ask for one yes.
- To check what landed: `list_clients` gives how many clients there are and each one's standing
  services (a client with no service has an empty list). One-off work with a start and an end —
  replace a pump, a deep clean — is `add_job`; `list_jobs` reads them.
- **The last step is the week.** Imported and new standing services start on nobody's route.
  `week_plan` shows each person's standing days and the queue, with a suggestion for each queued
  service from its zone (the zone's weekday and, if the zone has one, its person). Show the person
  the queue with the suggestions, get one yes, then `place_service` each one (its serviceId, the
  crew member, all the weekdays it runs). Read `week_plan` again and report the week. Give each
  person who drives a route their working days and workday minutes (`update_crew_member`) — the
  schedule measures each day against them.
- What is done in the app, not here: scheduling a job on a day, reordering a day's stops, and
  connecting Stripe (`connect_onboarding_link` gives the link; the person opens it). Tell the
  person so when you finish, with the concrete next step.

## Bringing a whole client list (for the assistant)

The person hands you their spreadsheet — an export from Jobber, Housecall Pro, QuickBooks, Excel or
Google Sheets. Two tools, always in this order:

1. **`import_book`** with the file **as text, exactly as given**, header row first. Never re-type,
   clean or summarize rows: the server reads the file with the same rules the app's Import CSV
   uses, and nothing is written yet. Name the columns only if the guess in the answer is wrong
   (`mapping`: `name`, `street`, `zip` required; `phone`, `email`, `category`, `day`, `frequency`,
   `notes` optional; `null` leaves one out). If the whole address sits in one column ("12 Oak St,
   Stuart, FL 34994"), leave it: with no ZIP column the server reads each ZIP off the end of the
   address (`zipFromAddress: true` in the answer) and refuses, with its reason, a row that has none.
2. **Show the person the answer** in plain words: how many become clients, how many get a weekly
   or every-other-week service and on which weekday (the zone that covers the ZIP decides it, then
   the file's day column), which rows are refused and why, which get no service and why, and the
   new categories. If a column was misread, fix `mapping` and preview again.
3. **`commit_import`** with the `importId`, only after their yes. Call it again while `remaining`
   is above 0 — it continues where it stopped and never writes a row twice. Then report the
   totals: created, services, duplicates, failed (each failure comes with its reason).

What lands: each client with its address as the primary one (gate codes and notes on the
address), its category, and its standing service, **unplaced** — then `week_plan` and
`place_service` put each one on a crew, as above (or the office does it from the week's queue in
the app). Monthly and one-time services are left for the person to add in the
service dialog; the preview names those rows. Set the zones up before the import if the business
has them, so the weekdays come out right.

# Clients

The **Clients** screen is the book. A client is a person or a business; a client can have several
**properties** — the house, the rental, the second address — each with its own service rhythm.

## What a client file holds

- The properties, each with **access notes**: gate code, which door, where to park, the dog in the
  back yard. The tech reads them at the stop, not in a group chat.
- **Visit history**, filled in from the route — nobody types it.
- **Client types** you name yourself: type one (say *Quarterly pest* or *Snowbird*) and it exists;
  a client can carry several at once, and every filter shows a live count.
- The client's estimates, jobs and services, on their own tabs.

## Adding a client

Clients → *New client*: name, phone or email, the first address. Add more properties from the file.
Bringing a spreadsheet? Use *Import CSV* instead (see the CSV import article).

## "Do you come to my street?"

The **Check** screen answers from the real route: type an address and it says whether it is covered,
which day, who goes and the arrival window. Quote the window you will actually hit.

## Seasonal clients

A client who leaves for the season is **paused**, not deleted: the file, the addresses and the whole
visit history stay in the book, so coming back is a switch, not a re-entry.

# Team and timesheet

## Team

**Team** is where you invite crew members by email. Each one signs in and sees **their own day
only**; the owner and the office see everyone's. A member's profile carries their qualifications
and availability, and — for whoever holds the compensation grant — their pay rate.

The bill follows the team: $69/month for teams of up to 3 · +$15 per person after (from the 11th,
+$10 each). Hiring or retiring someone changes the next bill, never the current one — the Team
screen shows the count and what the next bill will be. See [Pricing](pricing.md).

## Clock in and out

A tech **clocks in** from the phone and **clocks out** at the end of the day; the visits in between
are theirs. Editing rights follow the clock: a tech edits only their own day, only today, only
while clocked in.

## Timesheet

The **Timesheet** screen is the week, Monday to Sunday, per member: **Total**, **Regular** and
**OT** hours from the clocked intervals. Open intervals are not counted until they close.

- **Exceptions**: visits with no clock record are flagged; enter the actual interval or dismiss the
  exception with a reason.
- **Corrections** leave a trail — who added or corrected an interval, when, and why.
- **Forced close**: if nobody clocked out, the business limit closes the shift; the office confirms
  the hours or corrects them.

## Pay

Pay is computed from those hours and the stored rate, per week, on the member's **Pay** tab —
from the clock, not from memory.

## Who has room

The **Schedule** shows the load per tech per day, and **Activity** shows capacity by lane, so you
can see who has room before you promise a new client a day.

# CSV import

Export the spreadsheet you already keep (Excel, Google Sheets, another app) as a CSV and drop it in
at **Clients → Import CSV**.

1. **Map your columns to ours** — whatever you called them (name, address, ZIP, phone, email,
   client type, service day, how often, and notes such as a gate code). Columns you do not map —
   City, State — are ignored, not lost.
2. **Preview** exactly what will be created before anything is written: each client gets a
   standing service on the day its zone runs (or the file's day), weekly or every other week as
   the file says. A monthly or one-time row comes in as a client without a standing service, and
   the preview says so — add that service from the client's file.
3. **Duplicates are caught** before they land: a client that already exists is flagged rather than
   created twice.
4. Import. Day one starts with your real clients in it.

Tips: one row per property if a client has several addresses (they can be merged into one file
afterwards); keep ZIP codes as text so leading zeros survive; the address is what puts a client on
the right zone, so make sure it is complete.

A connected AI assistant can import the whole file for you — up to 1,000 rows, with how often each
house is served and the gate codes — and shows you the same preview first ([how](/help/agents)).

# The customer's link

Customers never need an account. Everything they do happens on a **link** the business sends —
by email from the app, or copied and texted.

- **Approve or decline** an estimate, with the total, line items and deposit in front of them.
- **Pay now** by card, for the deposit or the balance; a receipt follows by email.
- **See their history** and **request a visit** from their portal; a request lands in the office's
  inbox to be booked or answered.

If a link has expired, the office sends a new one (*Resend* on the estimate). The link is
personal to that customer and that estimate; do not forward it.

# Estimates

## Where an estimate starts

- **From the client's file** — *New estimate* on the client, in the office.
- **From the stop** — the tech flags *needs estimate* on the visit and attaches photos; the draft
  shows up on the **Estimates** screen with a *Tech* badge for the office to price.

## Building it

- **Line items**: item, quantity, price. Pick from the price list (Services) or type a line.
- **One-time or Subscription**. A subscription has a frequency — weekly, every 2 weeks or
  monthly — and shows as "$140 / month".
- **Deposit** on a one-time job: none, or a share due now, with the balance on completion.
- **Photos** from the stop stay attached.
- *Save draft* keeps it; *Send* emails the customer a **link**. *Copy link* gives you the same link
  to text it yourself.

## What the customer sees

The link opens on their phone with **no account and no app**: the line items, the total, the
deposit if any, and *Approve*. They can also decline, with a reason you will see (price, bad
timing, chose another provider, no longer needed, other).

## After sending

- Statuses: Draft → Sent → Approved → Paid (or Declined / Expired). *Valid until* is on the estimate.
- **No answer ≥ 3 days** is a filter on the Estimates screen; *Resend* sends the same link again.
- **Mark accepted** when the customer said yes on the phone, by email, by text or in person — the
  estimate becomes approved and can still be paid from its link.
- **Convert** an approved estimate into a **Job** (one-time work; schedule it from Jobs) or a
  **Service** (recurring; put it on a route from the Schedule).

## Paying

The customer can pay the deposit or the balance by card on the same link; cash or check is
*Mark paid* in the office. See the Payments article.

# Getting started

A new DoneOnce workspace opens with a **First steps** card on the Schedule screen and at the top of
Settings. It lists what the workspace still needs before it can run a week, and each row disappears
by itself once the thing exists. There is nothing to "complete" — do them in any order.

1. **Business address** — Settings. Routes start and end here, so the day cannot be sequenced
   without it.
2. **First client** — Clients → *New client*, or *Import CSV* if you already keep a spreadsheet
   (see the CSV import article). Every visit belongs to a client, so the schedule stays empty until
   one is on file.
3. **Invite your team** — Team → invite by email. Each crew member gets their own route and their
   own day; the owner sees everyone's.
4. **Price list** — Services. What you sell and what each thing costs; estimates and recurring
   services pick from it.
5. **Zones by ZIP** — Schedule → *New zone*: type ZIP codes (five digits, Enter after each), pick
   the weekday and the crew member who covers it. New clients in those ZIPs land on the right
   route by themselves.

Then open **Today** on a phone: it shows one tech's stops in driving order with arrival windows,
and *Send to the car* hands the route to Google Maps, Waze or Apple Maps.

# Jobs

A **job** is one-time work — a pump replacement, a re-sod, a deep clean — as opposed to a recurring
service. Jobs live on the **Jobs** screen and on the client's file.

## Where a job comes from

- *Convert* an approved estimate into a job (it arrives with no day and no crew on purpose —
  schedule it from Jobs).
- *New job* on a client, with a name, the day it starts and an estimated duration in minutes.

## Status — six words, no rules between them

**Pending · In progress · Paused · In review · Done · Canceled.** Any word can be chosen from any
other; nothing forces an order. Paused is ordinary (a business with more work than crew); Canceled
is the one that means money did not happen.

## On the job

- **Assign** it to a crew member and a day.
- **Estimated vs actual** minutes: the estimate you gave and the time it really took, side by side.
- **Notes** for the next person ("Old pump out, new one seated and primed").
- **Files**: photos, MP4/MOV/WebM video or PDF, attached to the job itself.
- When it is **Done**, the balance goes out as a *Pay now* link if there is one.

Inventory is not tracked in DoneOnce; parts go on the estimate's line items.

# Languages and devices

## English and Spanish

The whole product — not a half-translated menu — in both languages, chosen **per person** in their
profile. The owner can work in English and the crew in Spanish, or the other way around. Emails to
customers follow the business's language.

## Install on a phone

DoneOnce installs from the browser — **no app store, nothing to update by hand**:

- **iPhone**: open app.doneonce.app in Safari → Share → *Add to Home Screen*.
- **Android**: open it in Chrome → menu → *Install app* (or *Add to Home screen*).

# Payments

## How money comes in

- **By card, on the link.** The same link the customer approved the estimate on has *Pay now* for
  the deposit or the balance. Card payments go straight into **your own Stripe account** at
  Stripe's standard rate (2.9% + 30¢ per payment); DoneOnce takes no cut. On a $640 job about
  $621 arrives.
- **Cash or check** at the door: *Mark paid* on the estimate or the job in the office, and it is
  closed out against the work.

## The payments center

The **Payments** screen shows what is owed, in lanes: **Past due**, **Open**, **Current**,
**History** — and **Reports** for the period. Amounts are per unpaid invoice, so a subscription
shows what the current period owes, never a lifetime total.

## Charge everything due

On **Past due**, **Charge everything due** catches up the subscriptions whose renewal failed, in
one go. It first shows a review — how many clients, the total, and who will be skipped and why
(no card saved for automatic charges, card expired, a disputed charge, already tried today, or a
card that needs the customer to confirm with their bank). Nothing is charged until you confirm.
Each unpaid invoice is then charged on the card the customer saved with their subscription, and
the result lists what went through, what failed (with Stripe's reason) and what was skipped. It
never runs by itself, the same invoice is never charged twice in a day, and one run takes at most
50 invoices or $25,000 — run it again for the rest. One-time balances are never charged this way:
send them a reminder.

## Reminders

A quiet quote or an unpaid balance does not sit there for three weeks: reminders go out **by
email** on a schedule, and every attempt is recorded so you can see what was sent and when. (Text
reminders are not sent today — email only.)

## Receipts

A card payment sends the customer a receipt by email automatically.

# Zones and routes

## Zones

Schedule → *New zone*. A zone is a set of **ZIP codes** (type each one and press Enter), a
**weekday** and the **crew member** who covers it. Zones are drawn on real U.S. Census ZIP
boundaries, so the shape on the map is the shape the truck drives. A ZIP can belong to one zone
only; if a boundary is not on file yet, the app says so instead of guessing.

Retiring a zone keeps every client already on a route on their day; only new clients in those ZIPs
will need a day chosen by hand.

## Schedule (the week)

The **Schedule** screen shows every day on one map, so you can see where the load sits before you
promise a new client a day. Recurring services land on their zone's weekday; a visit can be moved
to another day in a tap, and the day re-sequences itself.

## Today

**Today** is one tech's day in driving order with arrival windows. The tech opens it on the phone.
The office sees every tech; a tech sees only their own day, and can edit only today, only while
clocked in.

## Optimization — offered, never forced

When a different order would save driving, Today shows a chip: *"Reorder stops 3 and 4 — save
5.1 mi today · Apply"*. One tap takes it, one tap ignores it. Nothing is reshuffled behind your
back.

## Send to the car

*Send to the car* hands the whole multi-stop route to **Google Maps, Waze or Apple Maps** on the

## What each one covers

Skimmer is deep on pool service: chemical readings and dosing history per body of water, service checklists with photos, route optimization, service emails and texts to the customer, and on higher plans a marketing suite and phone answering. If the chemistry log is the center of your business, it is the more specialized product.

DoneOnce covers the whole business of a route, not only the pool: the client book with properties and access notes, zones by ZIP code that put a new client on the right day, one route per technician per day sent to Google Maps, Waze or Apple Maps, estimates with deposits and recurring subscriptions approved from the customer's phone, online card payment into your own Stripe account, a payments center that shows what every client owes and reminds them by email, jobs with estimated versus actual time, crew clock-in and a weekly timesheet, and a voice assistant the technician talks to on the route. ## Routes against people: which is cheaper for you

The two products count different things, so the fair comparison depends on how your crew works.

- **GorillaDesk counts schedules.** Its FAQ says only users assigned to a schedule need a paid seat, so the owner and the office are free, and a crew that rides together needs a schedule only for its crew leader. Two people on one truck are one route.
- **DoneOnce counts people.** Every person who signs in is a seat, office included, but the first three are included in the $69: $69 a month for a team of up to 3, $15 per person from the 4th to the 10th and $10 from the 11th.

A lot of people already on Jobber search for the same thing, often in Spanish: *jobber en español*, how to switch it to Spanish for the crew or for the owner. Jobber gives the reason: admins have access to more features, and those features are not translated yet. If a technician using the Spanish app is made an admin, the app shows in English the next time it loads; their web language stays on Español.

In practice the field crew can work in Spanish on the phone and the owner can work in Spanish on a computer, but not from the truck.

## What shows in Spanish and what stays in English

According to the same article, these appear in Spanish:

- content you or your team entered in Spanish (line item names and descriptions, internal notes, custom fields);
- team scheduling notifications (push notifications and emails);
- support and error messages, and messages from Jobber.

Anything entered in English stays in English. Core is sold for "Just me" and takes one added user; Jobber's help center says to move to Connect to add more. The fourth plan, **Plus**, starts at the 5-user size: $499 for 5 users, $599 for 10 and $699 for 15. For **16 or more** people the page shows no price, only "Let's chat" and Contact Sales, so no number is given here for a team that size.

## Annual billing

Jobber also sells each plan billed annually, prepaid for the year, at a lower monthly rate. On 2026-09-30 the page showed these regular annual rates, per month, after the first-year offer it was running that day:

## Where the price jumps

- **The third person.** Core stops at two users, so a crew of three moves to Connect: from $78 to $197 a month.
- **Four people cost the same as five.** At four people, Connect's 5-user plan ($199) is cheaper than one user plus three added ($226), so a crew of four pays for five.
- **Every person past a bundle is $29.** Six people on Connect is $228, eight is $286; at ten the 10-user plan ($299) takes over.
- **Sixteen people has no published price.** The selector ends at 11–15; past that it is a sales call.

The plan also decides the features. Jobber's page lists what Connect adds to Core as automated client reminders, automatic payment collection, job checklists, quote and invoice follow-ups, QuickBooks Online sync, and time and expense tracking. Grow adds richer quotes with optional line items, automatic time tracking, job costing, two-way text messaging and custom workflow automations. So the cheapest plan that fits your team is not always the plan that has what you need; price the plan you would actually use.

- **Three to five people:** close. Housecall Pro's Essentials covers five users for $189; Jobber's Connect is $197 for three and $199 for five.
- **Six people and up:** Jobber. Housecall Pro's next step is Max at $329 for 8 users, while Jobber's Connect sells 10 users for $299 and 15 for $399.

The cheapest plan that fits is not always the right plan. Jobber lists automated client reminders, automatic payment collection, quote and invoice follow-ups, QuickBooks Online sync and time tracking as what Connect adds to Core. On both, the features grow with the plan, so compare the plan that has what you need, not only the first one that takes your team.

Card payments are a separate cost on both. Jobber's pricing page lists card rates of 2.9% + 30¢ or 2.7% + 30¢ depending on the plan.

**Housecall Pro** is built around the service call: online booking, dispatch, "on my way" texts, invoicing, review requests, consumer financing and a marketing suite. If customers book one-off appointments and an office runs a dispatch board, it is a strong fit.

# When your lawn crew outgrows Yardbook

Yardbook is free, and for an owner with a mower and a notebook that is hard to beat. Its home page says it is paid for by sponsored ads, with optional premium features for larger companies. This page is for the crew that has grown past one truck and is asking what free is costing it. It is fair about when Yardbook is still the better choice. Lawn care is the example here; DoneOnce is built for any business whose week repeats.

Yardbook was read on its own site on 2026-09-25, and its terms and pricing page again on 2026-09-30 with the same result: the home page, https://www.yardbook.com/ (features, and "Why is it free?"), its Terms of Service on the same page, and its help center, https://support.yardbook.com/. Its public pricing page, https://www.yardbook.com/pricing, answered "not found" that day.

Yardbook's terms, read on 2026-09-25, say: "The Yardbook processing fee for non-premium accounts is 1% of each transaction," and that it is waived on the Business and Enterprise plans. Its help center marks text-message templates, Mailchimp and customized quote pages as premium features. We did not find a published price for either premium plan; if you need one, Yardbook shows it inside the account.

## What free costs once customers pay online

The 1% is small on one invoice and large on a season. A crew that collects $6,900 a month by card pays Yardbook $69 a month in that fee, the price of DoneOnce for a team of three. At $10,000 a month it is $100. The alternative on Yardbook is a premium plan whose price is not on its public site. On DoneOnce the money goes to the business's own Stripe account at Stripe's standard 2.9% + 30¢, and DoneOnce takes nothing from it.

## What changes with the second person

A free tool built for one owner starts to strain when a second person needs their own route, their own clock-in and their own language. On DoneOnce each person has their own login and role; each technician gets one route per day in driving order, sent to Google Maps, Waze or Apple Maps; zones by ZIP code put a new client on the right day by themselves; the crew clocks in and the weekly timesheet feeds pay; and the owner, the crew and the customer can each work in English or Spanish. ## Stay on Yardbook if

- You work alone or with one helper, most customers pay by check or cash, and $0 is the deciding number.
- You use expense tracking, equipment maintenance or chemical tracking. Yardbook lists them; DoneOnce does not have them.
- New customers find you through your Yardbook profile.
- It already does what you need. A switch costs a week of attention; make it for a reason.

## Switch to DoneOnce if

- You have two or more people on the route, or are about to, and want each one on their own day and their own timesheet.
- Your customers pay online, and a fee on every payment bothers you more than a flat subscription.
- Your crew or your customers speak Spanish.

Read honestly: ZenMaid Starter is the cheapest option at every size, as long as the business books 40 appointments a month or fewer, which a team of cleaners on a recurring schedule passes quickly. Against Pro, the plan with unlimited appointments, DoneOnce costs $16 more for one person and $2 more for two, and less from three people up. Pro Max costs more than DoneOnce at every size.

## Spanish for the cleaners, the office and the customer

On 2026-09-25 we found no mention of a Spanish version of the ZenMaid app on its pricing page, and its site's language menu offered English only. If Spanish matters to your team, ask ZenMaid before deciding.

DoneOnce is in Spanish for everyone who touches it: each person picks English or Spanish in their own profile, so the owner can work in English and the cleaners in Spanish, or the other way around. # How to charge recurring clients automatically

A business whose clients come back every week also bills them every week or every month, and chasing that money by hand is the part of the job nobody signed up for. Automatic charging, or autopay, fixes it: the client agrees once, their card is charged on a schedule, and you only hear about the payments that did not go through. This guide covers how to set it up fairly, what it costs and what to do when a charge fails, whether you clean houses, service pools or cut lawns.

## Four ways recurring clients pay

1. **An invoice after every visit.** Simple and exact, but it is a separate payment to chase every week, and small invoices are the ones people forget.
2. **A monthly invoice.** Fewer payments to chase, but still chased: you send it, you wait, you remind.
3. **Autopay: a card on file, charged on a schedule.** The client agrees once and pays every period without doing anything. This is the one that removes the chasing.
4. **Cash or check at the door.** It still happens and it should still be recorded, but it cannot be automated.

Most recurring businesses end up with autopay for the regular service and a separate one-time charge for the extras (a filter replaced, a deep clean, a storm cleanup).

## Decide what you charge for: the visit or the period

You can charge per visit (each visit is its own charge) or a flat amount per period (the same amount every month, whatever the calendar does). A flat monthly price is easier for the client to recognise on a statement. The conversion is simple:

- Weekly at $35 a visit: $35 × 52 ÷ 12 ≈ **$152 a month**.
- Every two weeks at $45 a visit: $45 × 26 ÷ 12 ≈ **$98 a month**.

Months with five service days are paid for by the months with four, which is why the flat price uses 52 or 26 visits a year and not four or two a month. Say so in the agreement so nobody feels short-changed in a five-week month.

## Get consent the right way

Autopay only works if the client clearly agreed to it, and a clear agreement is also your best protection against disputes. Four habits:

- **The client enters their own card** on a secure payment page. Never write card numbers down or take them over the phone into a notebook.
- **The amount and the frequency are on the page they approve**: "$152 / month" or "$45 every 2 weeks".
- **A notice before each automatic charge.** A line on a statement the client does not recognise is how a chargeback starts; an email that says the amount and the date turns it into a reply instead.
- **A receipt after each charge**, by email.

## What card payments cost

A card processor takes a fee on every payment. Stripe's standard U.S. rate is 2.9% + 30¢, so a $152 monthly charge costs about $4.71 and about $147 arrives. Put it in your price rather than surprising the client with a surcharge. Charging monthly instead of weekly also saves the 30¢ fixed part on three or four payments a month.

## When a charge fails

Some charges will fail every month: a card expired, a bank declined, a card was replaced after fraud. Decide the policy before it happens:

1. **Retry once or twice** over a few days; many declines clear by themselves.
2. **Remind the client** by email with a link to pay or to update the card.
3. **Set a line** for how far behind a client can go before the service pauses, and write it in the agreement.
4. **Never charge the same invoice twice** by retrying by hand while an automatic retry is still running.

## Pausing, cancelling and changing the price

Seasonal clients should be paused, not cancelled, so the card, the address and the history are still there in spring. A price change needs notice before the first charge at the new price. A cancelled client should receive no further charges from that day, and your records should show why.

# How to organize service routes by day

For a business that visits the same clients again and again, routing is not a daily puzzle. It is a structure you build once: which area is served on which day, who drives it, and in what order. Get the structure right and the daily route mostly plans itself; get it wrong and no amount of optimizing on the morning of the day will save the miles. This guide is the structure, in the order to build it.

## 1. Start from a map of your clients

Put every recurring client on a map, even a free one. Clusters appear at once: the three streets where a third of your book lives, the one client forty minutes from everyone else. Everything below is about serving the clusters on the same day and deciding what to do about the outliers.

## 2. Divide the area into zones and give each zone a day

A zone is an area served on one weekday by one person. ZIP codes are the easiest building block, because every address already has one and clients know theirs. Draw zones so that:

- each zone is a day's work for one person, give or take;
- neighboring zones are served on neighboring days where possible, so a stop that slips can move one day, not across town;
- the zone next to your base, or next to where the technician lives, is the one for short days.

This is the single decision that cuts the most driving, because it puts stops that are close together on the same day every week.

## 3. One route per technician per day

Each technician should have one route for the day, in driving order, that starts and ends at a known place. Two people sharing a list without an order lose time deciding who goes where. When two people must go together (a heavy job, a team clean), they share one route rather than two half-routes.

## 4. Fix the order, then leave it alone

Clients on a recurring schedule like the same day and roughly the same time. Once a zone's order is sensible, keep it stable from week to week and change it only when it saves real distance. A route re-optimized from scratch every morning gives the shortest possible drive on paper and a client who never knows when you are coming.

## 5. Give arrival windows you actually hit

From the order and the time each stop takes, each client gets an arrival window. Use the times from real days, not from a map's driving estimate alone, because the stop itself is most of the day. A two-hour window you keep is worth more than a thirty-minute window you miss.

## 6. Put new clients on a route you already drive

Before you say yes to a new client, check where they fall. On an existing zone's day, they cost a few minutes. Off every route, they cost a trip. You can still take them, but price the trip, or offer the day their area is served. Growth that follows your zones makes routes denser; growth that ignores them makes the week longer.

## 7. Send the route to the phone, and record at the stop

The technician should not type addresses. Hand the whole day to the navigation app on the phone (Google Maps, Waze or Apple Maps) in one step, so it runs on the car's screen too. Record each visit at the stop, with a note or a photo, so the office knows what was done without a phone call.

## Signs your routes need rebuilding

- The same technician crosses the same highway twice in one day.
- One day of the week is always full and another is always light.
- New clients are placed wherever there is a gap in the calendar, not where they live.
- The office cannot say which day a street is served without looking it up.

# How to schedule weekly and biweekly clients

A service business with recurring clients does not schedule visits; it schedules a week, once, and then keeps it. The same forty or two hundred clients come back every week, every two weeks or every month, and the job is to give each of them a fixed place in that week so the route stays short, the crew knows its day, and the client knows when you are coming. This guide is the method, whatever tool you keep it in: a notebook, a spreadsheet or software.

## 1. Let the address decide the day

The first rule of a recurring schedule is that the day comes from where the client lives, not from when they called. Split your service area into a few areas (ZIP codes work well because every address already has one) and give each area a weekday. Tuesday is the north side, Wednesday is downtown, and so on.

Everything else follows from this. Stops that share a day are close together, so driving time drops. A new client in a neighborhood you already serve goes on that neighborhood's day, and you can offer it on the phone without looking anything up. When a client asks for a different day, the honest answer is that their street is on Tuesday; exceptions are allowed, but each one costs you driving time every single week.

## 2. Give every client a cycle

Each client gets a frequency: weekly, every two weeks (biweekly) or monthly. Write it down next to the day. Price it per visit or per period, but decide which, because it changes how you bill: a weekly client at $35 a visit is about $152 a month (52 visits ÷ 12 months), and a biweekly client at $45 a visit is about $98 a month (26 ÷ 12).

## 3. Split the biweekly clients into two halves

This is where most recurring schedules go wrong. If every biweekly client on Tuesday is visited on the same Tuesdays, you get one heavy Tuesday and one light one, forever. Split them into two groups, week A and week B, and alternate.

An example: Tuesday has 24 weekly clients and 16 biweekly clients. If all 16 biweekly clients share a week, Tuesday is 40 stops one week and 24 the next. Split 8 and 8 and every Tuesday is 32 stops. Same clients, same revenue, and the crew never has an impossible day.

When a new biweekly client signs up, put them in the lighter half. Monthly clients work the same way with four slots instead of two: give each one a week of the month (first, second, third or fourth Tuesday) and spread them evenly.

## 4. Set a ceiling per person per day

Decide how many stops one technician can do well in a day, from real days rather than hopes, and hold to it. Then leave room under the ceiling: around one stop in ten free for the extra visit, the new client who wants to start this week, or the day lost to weather. A day that is full on Monday morning has nowhere to put Tuesday's surprise.

## 5. Change the plan, not the pattern

A recurring schedule survives by handling exceptions without breaking the shape:

- **One visit moves** (a holiday, a locked gate): move that visit only, and the client stays on their day for the next cycle.
- **The cycle changes** (weekly in summer, every two weeks in autumn): change the client's frequency, not every future visit by hand.
- **A client leaves for the season**: pause them instead of deleting them, so the address, the notes and the history are there when they come back.
- **A day grows past its ceiling**: move a whole area to a lighter day, or split it between two technicians, rather than pushing stops around one at a time.

## 6. Tell the client their day and window

Once the week is set, each client should know their day and a realistic arrival window. Quote the window you actually hit on that route, not the one you would like to hit. Recurring clients forgive a lot, but not a crew they are waiting for at the wrong time.

## If you keep it in a spreadsheet

A spreadsheet works for one person with a few dozen clients. Use one row per property with these columns: client, address, ZIP, day, frequency, week (A or B for biweekly, 1–4 for monthly), price, and notes such as the gate code. Sort by day, then by week, and you can read any day's list. It stops working when there is more than one technician, when clients move days often, or when you need to know who has paid.

Every two weeks: the client is visited on their day every other week, 26 visits a year. To keep the load even, split the biweekly clients on each day into two halves that alternate, so every week of that day carries about the same number of stops.

### Should weekly and biweekly clients share a day?

Yes, if they live in the same area. The day comes from the address; the frequency only decides which weeks a client is on it. Mixing both on one day is what lets the two biweekly halves fill the gap between weeks.

### How many recurring stops can one technician do in a day?
